Student Management System
Our Student Management System, Puk-e-DATA has been around for more than 15 years, adapting to the changing demands of the Ministry of Education and TEC and the changing needs of the training organisations. Education providing has changed a lot over the last decade and Puk-e-DATA has been there throughout assisting administrators in tracking students progress and sending in the required information to the governing bodies.
Puk-e-DATA allows the administrator to manage courses and enrolments and to track the achievements of the students.
Puk-e-DATA is a tried and true student management solution for small to medium sized training establishments.
Tutor Management System
Tutor Plus provides a web based application allowing tutors to manage the three key activities that tutors are involved in - attendance, assessments and achievements. Tutors can keep track of these online, entering the data directly into the system and being alerted to students who are not achieving as expected. The system also includes a configurable KPI module which provides information to tutors on whether both students and tutors are meeting expectations.
Attendance records when a student is present in the course. The system allows the tutors to set up a schedule of student contacts and then record when a student was present. There are a range of reports available to the tutor to track the attendance and KPI's to alert tutors of students who have fallen below the required attendance threshold.
Assessments are the pieces of work the student must complete to pass the course. These may not be used for some types of courses but if the students complete essays, workbooks or tests as part of the course, then these are recorded in Tutor Plus. The system handles due dates, extensions and the possibility of multiple attempts at an assessment. Completing assessments may lead to one or more achievements being granted to the student.
Achievements are NZQA units or internal achievements that can be awarded to the student. These can either be granted directly by the tutor or are a result of one or more assessments being achieved.
Tutor Plus has an auditing requirement built into it so achievements must be verified by an approver (who can't be a tutor) before the achievement is passed back to the student management system. This ensures that the organisations standards are maintained and that the opportunity for fraud by tutors is reduced.
Finance Integration Module
The finance integration module handles the student trust and enforces the draw-down rules. When money is recieved for student fees, etc. the rules for draw-down are applied and the drawdown report provides the accountant with the information about what can be drawn down each month.
The finance integration module allows student invoices to be generated, retrieving the information from the student management system and flagging which students have not been invoiced yet. It also tracks what students have paid and which have not paid and need to be followed up.
Management Reporting
The management reporting is designed to provide management with a clear picture of the performance of the organisation right down to individual students. A full suite of reports capture every aspect of the organisation allowing managers to make better decisions based on real information.
